Planning Advocacy Team Administrator

Leeds (Office-Based) | Full-Time | Professional Services Environment


We are currently working with a highly regarded professional services organisation to recruit a Planning Advocacy Team Administrator to join their Leeds office. This is an excellent opportunity for a highly organised and proactive administrator who enjoys working in a collaborative team environment and takes pride in delivering efficient, high-quality support.

Due to the nature of the work — including document preparation and production — this position is fully office-based and plays a key role in supporting the day-to-day operations of a busy specialist team.


The Role

Our client is seeking someone who can provide efficient administrative support while building positive working relationships with colleagues and clients. You will play a central role in ensuring the smooth running of the team by coordinating documentation, managing billing processes, and supporting lawyers with a variety of administrative tasks.


Key Responsibilities

  • Support the day-to-day running of the Planning Advocacy team, ensuring workflows operate smoothly and efficiently
  • Manage the collation and production of inquiry documentation, including core documents
  • Coordinate the preparation and organisation of client materials requiring team review
  • Maintain efficient billing processes, including tracking purchase orders, monitoring bills, and coordinating monthly billing updates
  • Produce and format documentation proactively and accurately to support the team’s work
  • Communicate professionally with clients via telephone, email, and in person when required
  • Maintain organised electronic filing systems, including emails and digital records
  • Provide administrative support to lawyers, including file opening, closing and archiving, appointment coordination, and billing administration
  • Undertake additional administrative duties as required to support the team

  • Strong communication skills with a professional and approachable manner
  • A collaborative team player with a flexible approach to work
  • Proven experience delivering high-quality administrative support within a professional environment
  • Confident IT user, including case management systems and Microsoft Office packages
  • Able to demonstrate professionalism, reliability, and strong attention to detail
